Billing a callout, labour and parts

A trade invoice gets queried more often than any other kind, and almost always for the same reason: the customer expected one number and received three. Someone quoted about eighty an hour is surprised when a callout fee, a parts charge and a minimum appear alongside it.

The fix is structural rather than diplomatic. Give the callout its own line, labour its own line with the hours in the quantity column and your rate in the rate column, and each part its own line. The example data on this template does exactly that. A customer looking at four clear lines can see what they are paying for; the same total as one lump sum reads as a number you made up.

Bill labour in the units you actually charge in. If you charge in half hours, put 3.5 in the quantity column rather than rounding to 4 and explaining afterwards. The generator accepts decimals, and takes both a full stop and a comma as the decimal separator.

Two things belong in the notes on a trade invoice: any guarantee on parts or workmanship, and when the clock started. Labour charged from arrival on site prevents the conversation about travel time before it happens. Payment on receipt is normal for domestic work; for commercial customers a stated term beats an assumption.

Frequently asked questions

Should a callout fee be a separate line on the invoice?

Yes. A callout folded into an hourly total is the single most common cause of a queried trade invoice. On its own line with its own amount it becomes something a customer can accept or ask about specifically, rather than a reason to doubt the whole document.

How do I bill half hours of labour?

Put the decimal straight in the quantity column: 3.5 at your hourly rate. The generator accepts decimals and takes both a full stop and a comma as the decimal separator, so you do not have to round up and justify it afterwards.

Should parts and labour be on the same invoice?

They can be, as separate line items, which is what this template shows. Keeping them distinct matters if any part carries a guarantee, and it lets a customer see the split between what you did and what you supplied. Note the guarantee itself in the notes field.
