Billing as an agency or studio

Agency invoices carry a risk a solo invoice does not: they are read by someone who did not commission the work. A marketing manager approves the project, then the invoice reaches a finance team who have never heard of you and are matching it against a purchase order. Everything on the document has to survive that handover.

Two practical consequences. Describe deliverables the way the contract or statement of work described them, not the way you refer to them internally. Phase 2 discovery means nothing to accounts payable; Brand identity design, as per SOW dated 3 June gets matched and paid. And put the purchase order or project reference in the notes if your client uses one, because an invoice without it usually joins a query queue rather than a payment run.

How should an agency describe line items on an invoice?

Match the wording in the contract or statement of work. The person approving the invoice is often not the person who commissioned the work, so a line that reads the same as the agreed scope gets matched and paid, while an internal shorthand goes into a query queue.

Where do I put a purchase order number?

In the notes field, near the top of what you write there. Many mid-sized clients will not pay an invoice without a PO reference on it, and adding it afterwards means reissuing the document. If your client uses purchase orders, ask for the number before you invoice rather than after.

Should I add my logo to an agency invoice?

Yes, if you have one. Add a PNG, JPEG or SVG in the generator and it appears in the header band. The file is read in your browser and never uploaded. For an agency the logo does real work: it makes the document recognisable in an inbox full of similar PDFs.
